How do I decline client inquiries?

With clarity.

You are under no obligation to say yes to any prospect.

Here’s a sample script:

“Thank you so much for reaching out and considering our firm for accounting services.

You deserve a high level of service when it comes to accounting and tax. At this time, we are not accepting new clients.

We wish you the best of luck in your business, and again, thank you for reaching out.”

….

Some variations on the theme in case you find them useful.

If you’re beyond capacity for the foreseeable future:

Unfortunately, we cannot take new clients at this time.

.

If you’re at capacity through the end of tax season:

Unfortunately, we are not accepting new clients until May 1st.

OR

We have made the difficult decision to stop accepting new clients through May 1st.

.

If the prospect is outside your niche:

We have made the difficult decision to stop accepting new clients who are outside our area of expertise.

OR

Given that we focus on a different industry, we don’t believe we are a good fit for you at this time.

.

If you feel like you need a reason or justification (you don’t!), there’s:

Due to the significant changes that have take place in the tax landscape over the last few years, we are not accepting new clients at this time.

If you take on a client you either don’t have capacity for, or don’t want to work with, they will suffer, and so will you.

It is better for your business and better for your prospect when you are clear.
